Understand what information Assign Events handles, why it is needed, and the choices available to you.

About this policy

This policy explains how Umer Ashraf, the operator of Assign Events ("we", "us"), handles information through the Assign Events mobile app and website. Assign Events helps organizations coordinate events, equipment, vehicles, staff and related work.

If you use an organization-managed account, your organization determines which business records it adds and who can access them. Its own employment, customer and privacy policies may also apply. Contact us at info@m4uevents.com about this policy or the service.

Information we handle

  • Account and profile information: names, email addresses, account and organization identifiers, roles, authentication information, and an optional profile photo.
  • Work and business records: event details, customer and venue information, team assignments, schedules, availability, time-off requests, equipment and vehicle records, barcode values, task updates and notes.
  • Compensation records: where your organization enables payroll features, rates, amounts, adjustments, approval status, recorded payments and audit history. Access depends on your role.
  • Device and service information: notification tokens, device platform/name, notification preferences, and technical information such as IP addresses, request/error logs and security events generated when you use the service.
  • Support communications and reports: information you choose to include when you contact us or report content or a user, including the record or person identified and your description of the concern. Reports submitted while signed in are associated with your account and organization. Avoid sending passwords, payment card details or unnecessary personal information.

Information may come from you, your organization or another authorized user working in the same organization. The information available in your app depends on your permissions and enabled features.

How information is used

We use information to authenticate users, provide the requested work features, enforce organization access, synchronize records, deliver reminders and notifications, respond to support requests, review content and user reports, troubleshoot errors and protect the service. Records may also be used to meet applicable legal obligations and resolve disputes.

The mobile app does not include advertising SDKs or request permission to track you across other companies' apps and websites.

Camera, photos and notifications

  • Camera: used when you choose to scan equipment barcodes. Camera frames are used to read the barcode; the scan result is used for the equipment workflow.
  • Photos: a profile photo you select is uploaded for use with your account. Profile photos and other uploaded files may be delivered through publicly reachable file URLs; anyone who receives such a URL may be able to view the file. Do not upload confidential documents as a profile photo. You can change or remove it in Edit Profile.
  • Notifications: if enabled, a device notification token and your preferences are used to deliver work-related alerts. Notification content may appear on your lock screen according to your device settings.

You can manage system permissions in your device settings. Declining an optional permission limits the associated feature. The app does not need microphone access or continuous device-location access for these features.

When information is shared

Information is available to authorized people in your organization according to their permissions. Your organization is responsible for the users it invites and the records it shares.

Service providers process information needed to host and operate Assign Events, store records and files, send messages and deliver notifications. These include Railway for hosting; Expo, Apple and Google for mobile notification delivery; and, when enabled, Sentry for error and performance diagnostics, SendGrid or Resend for email, and Twilio for SMS. Diagnostic events may include account and organization identifiers, email addresses, request details and error information. Features your organization connects to other services may send records to those services as part of that integration.

Authorized support staff review support requests and reports. When configured, Slack receives report details together with the reporter's name, email address, role and organization to support that review. We may share relevant details with an authorized organization administrator when needed to investigate or address a concern. Reports are not anonymous; include only the information needed to explain the issue.

When you choose to export or share a file, the selected destination receives that file. We may also disclose information where necessary to comply with law, protect rights or security, or support a business transfer with appropriate protections and notice where required.

Storage, security and retention

Requests to the production service use HTTPS. The mobile app uses the device's secure storage for sign-in credentials and stores local preferences and cached content to support its features. Files you export may remain in the location you choose after you sign out.

We retain information for as long as it is needed to provide the service and for applicable legal, accounting, security and dispute-resolution purposes. Retention depends on the record and the organization's obligations; payroll or audit records may need to remain after an individual account is closed. Backup copies may remain until their normal replacement cycle.

Hosting and communications providers may process information in countries different from yours. No system is completely secure; protect your device and account, and contact us if you suspect unauthorized access.

Your choices and data requests

You can edit your name and profile photo and manage notification preferences in the app. For access, correction, a copy of your information, or deletion of your account and associated personal data, contact info@m4uevents.com. Our account and data request page explains what to include.

We may need to verify your identity and coordinate with your organization before changing organization-controlled records. We will explain any information that must be retained and why. Uninstalling the app or signing out does not delete server records.

Depending on where you live, you may have additional rights, including rights to object to or restrict certain processing, withdraw consent where processing relies on consent, and complain to your local data-protection authority. Contact us to exercise applicable rights.

Children

Assign Events is a work and business operations service and is not directed to children under 13. If you believe a child has provided personal information without appropriate authorization, contact us so we can investigate and address it.
